Terms of Service

These Terms of Service explain the rules for using Clear To Roll. Clear To Roll is a driver-controlled records organization, document management, reminder, and packet preparation platform that helps drivers upload, organize, classify, track, prepare, export, and manually send their own records.

1. What Clear To Roll Provides

Clear To Roll is a driver-controlled records organization, document management, reminder, and packet preparation platform. The platform helps users upload, organize, classify, track, prepare, export, and manually send their own records. The platform includes: • Records Hub — organize and store driver-related records by category • Document Inbox — a secure intake area to receive and review incoming records, including email upload through your private upload address • Incident Files — organize incident details with optional images and videos on eligible plans • Manual file upload and document classification • Private file storage with signed URL view, play, and download access • Move, relabel, and edit document details • Expiration date tracking based on dates entered by the user • Dashboard reminders and Calendar & Reminders visibility • Employment History organization with PDF export • Business Packet preparation with ZIP/file export and cover sheets • Letters & Templates with Open Email Draft and DOCX/TXT downloads • Answer Vault help articles • Soft delete with undo and Recently Deleted recovery • Account and billing management through Stripe

2. What Clear To Roll Does Not Do

Clear To Roll is an organization and readiness tool. It is not an Electronic Logging Device (ELD) or a substitute for an ELD. Clear To Roll is not a motor carrier, freight broker, dispatcher, freight forwarder, employment agency, background screening company, drug testing company, Consortium/Third-Party Administrator (C/TPA), medical provider, legal provider, tax provider, insurance provider, lender, government agency, or compliance certification service. Clear To Roll does not approve, certify, screen, clear, qualify, rank, recommend, guarantee, verify, or determine driver eligibility for any driver, owner-operator, motor carrier, broker, shipper, insurer, lender, accountant, agency, employer, or other recipient. Clear To Roll does not guarantee employment, carrier acceptance, regulatory compliance, safety compliance, or document approval. Clear To Roll does not replace carrier, broker, shipper, insurer, lender, accountant, agency, DOT, FMCSA, drug testing, background screening, or employer requirements. Recipients may require their own forms, reports, authorizations, review, and decision process. Clear To Roll does not pull MVRs, PSP reports, Drug & Alcohol Clearinghouse records, background checks, traffic court checks, drug testing records, verification of employment, or official third-party reports. Drivers may upload copies of records they already have or are authorized to store or share. The File Readiness Score is an internal organizational summary only. It is not an approval score, compliance score, safety score, eligibility score, or any kind of external rating.

3. Driver Responsibility for Record Accuracy

Users are responsible for the accuracy, completeness, legality, and appropriateness of the records and information they upload, enter, organize, export, or send. Clear To Roll may help organize records and reminders, but users remain responsible for confirming requirements directly with carriers, brokers, insurers, lenders, accountants, agencies, or other recipients. Clear To Roll does not review, validate, or confirm the accuracy of uploaded records.

4. Expiration Tracking

Expiration tracking is based only on dates entered by users. Clear To Roll does not read, verify, validate, approve, certify, or confirm expiration dates or document validity. Users are responsible for entering accurate expiration dates and confirming renewal requirements with the appropriate authority, carrier, insurer, or agency.

5. Document Inbox and Email Upload

The Document Inbox is a secure intake area for records. Document Inbox email upload saves attachments sent to the user's private upload address at docs.cleartoroll.com. Email upload is processed through Postmark or another inbound email provider. Users should only send documents they want stored in Clear To Roll. Email upload does not mean Clear To Roll reads, verifies, or approves the document. Clear To Roll does not use AI or OCR to read document contents at launch. Users classify and organize emailed files themselves. Clear To Roll does not independently verify the identity of a sender. Users should review each attachment before saving it and open only attachments they recognize or trust. Inbound email addresses are generated with a driver-chosen handle and a secure routing code. Users may regenerate their address at any time, which deactivates the previous address.

6. Letters & Templates

Letters & Templates are convenience tools only. Templates can be copied, edited, and downloaded as DOCX or TXT files. Open Email Draft opens the user's own email app with a pre-filled message. Clear To Roll does not send template emails automatically and does not send emails on the user's behalf. Users are responsible for reviewing and sending any email content from their own email account.

7. Business Packets and Sharing

Business Packets are driver-selected record packages. You choose which Records Hub documents to include. A recipient sees only the selected documents for that packet. An active Business Packet link can be opened without a Clear To Roll account. Anyone who has an active share link can access the selected packet documents until the link expires or you revoke it. You control the expiration date and can revoke a link at any time. Recipients do not receive access to your full Records Hub. Normal Business Packets are not password-protected ZIP files. Selected packet documents may be viewed or downloaded individually through the packet link. You are responsible for sharing packet links carefully and revoking links you no longer want active. If you download and email a packet outside Clear To Roll, you are responsible for choosing the recipient and the method of sharing. Clear To Roll is not responsible for how a third party uses documents after you send them outside the platform.

8. Business Packet Disclaimer

Business Packets are driver-selected record packages. Clear To Roll does not guarantee that any packet is complete, accepted, required, sufficient, compliant, approved, certified, verified, or valid for any specific recipient or purpose. Recipients may require their own forms, applications, authorizations, reports, testing, screening, review, and decision process.

9. Incident Images and Videos

Incident images and videos are available inside Incident Files for eligible plans. MP4 and MOV files are accepted subject to current size and count limits. The original uploaded media is retained without in-place editing; previews or edited versions are stored separately where applicable. Incident media is not certified evidence and does not establish a formal legal chain of custody. Clear To Roll does not authenticate, verify, or confirm the accuracy, validity, or admissibility of any uploaded media. Users must not upload unlawful, infringing, harmful, or prohibited material.

10. Your Content and Permissions

You may upload only files you are authorized to possess and share. When you upload files to Clear To Roll, you grant Clear To Roll the limited permission needed to store, process, display, convert, share, and export your files as you direct within the platform. Clear To Roll does not take ownership of your uploaded content. Temporary signed links created for View, Play, or Download may remain usable until they expire. You should not copy, paste, or forward private signed file links to others.

11. Acceptable Use and Account Security

Users agree to use Clear To Roll only for lawful purposes. Users may not: • Upload malware, viruses, or harmful files • Upload illegal content or content that infringes on another party's rights • Upload unauthorized third-party documents or documents the user is not authorized to store • Upload unlawful, infringing, harmful, or prohibited incident media • Attempt to access another user's records, account, or data • Share login credentials or compromise account security • Use the platform for spam, fraud, or abuse • Reverse engineer, scrape, or disrupt platform infrastructure Users are responsible for keeping their account login information secure and for the security of their own device. Do not share your login credentials. If you believe your account has been compromised, contact support immediately.

12. Account Suspension and Termination

Clear To Roll may suspend or terminate accounts for misuse, nonpayment, abuse, harmful files, unauthorized access attempts, spam, fraud, or policy violations. Clear To Roll may also suspend or terminate accounts to protect platform security, other users, or third parties. Suspended or terminated accounts may lose access to stored records, and users are encouraged to export records they need before any account issue arises.

13. Service Availability and Security

Clear To Roll is provided on an "as is" and "as available" basis. Service availability depends partly on third-party providers, including hosting, storage, email, and payment providers. No security system can be described as absolutely secure. Clear To Roll does not guarantee uninterrupted service, error-free service, document completeness, document accuracy, or reminder accuracy. Clear To Roll does not guarantee carrier acceptance, broker acceptance, insurer acceptance, lender acceptance, tax or accounting acceptance, legal sufficiency, FMCSA compliance, driver eligibility, carrier qualification, driver approval, or any other business outcome. To the maximum extent allowed by law, Clear To Roll disclaims all warranties, express or implied, including implied warranties of merchantability, fitness for a particular purpose, and non-infringement.

14. Limitation of Liability

To the maximum extent allowed by law, Clear To Roll is not liable for indirect, incidental, special, consequential, punitive, lost profit, lost revenue, lost opportunity, lost load, lost contract, business interruption, or similar damages. To the maximum extent allowed by law, Clear To Roll's total liability for any claim is limited to the amount the user paid to Clear To Roll during the three months before the event giving rise to the claim, or $100 if no fees were paid. This limit applies to all users, including users on free or promotional access and paying users.

15. Indemnification

The user agrees to defend, indemnify, and hold harmless Clear To Roll from claims, losses, damages, liabilities, costs, and expenses arising from: user-uploaded content; inaccurate or incomplete records provided by the user; unauthorized upload or sharing of documents; misuse of the platform; violation of these Terms; violation of a third party's rights; use of Clear To Roll as a substitute for any carrier, legal, medical, tax, insurance, lender, FMCSA, C/TPA, drug testing, or background screening requirement; and documents the user chooses to export or share outside the platform.

16. Exclusive Remedies

The user's remedies are limited to account correction, cancellation, data export where available, or a refund only if required by law or expressly approved by Clear To Roll in writing. Clear To Roll does not offer routine refunds. Clear To Roll is not responsible for lost loads, lost contracts, missed business opportunities, or carrier, insurer, lender, broker, tax, legal, compliance, or other third-party decisions.

17. Electronic Acceptance and Consent Records

By using Clear To Roll, the user agrees to receive and accept records electronically, and agrees that documented electronic acceptance has the same effect as a handwritten signature where allowed by law. Consent acceptance is stored with a timestamp, the accepting user, email address, consent type, version, and the source page where it was accepted. Users may request copies of their applicable consent records and may withdraw consent by cancelling their account or contacting support, subject to platform limitations.

18. Billing and Subscription

When paid subscriptions are active, payments are processed by Stripe. Clear To Roll does not store full payment card numbers. Subscriptions are month-to-month with no long-term contract and may be canceled at any time. Plan names are Starter, Active, and Pro. Active Business Packet limits are 5 for Starter, 15 for Active, and 50 for Pro. The selected monthly subscription is charged immediately at signup and renews monthly on the same date until canceled. Monthly subscription fees are non-refundable once charged, except where required by law or expressly approved by Clear To Roll in writing. See the Cancellation Policy for full details.

19. Cancellation and Account Export

Drivers may cancel their subscription at any time from the Account & Billing page or through the Stripe Customer Portal when live billing is active. Cancellation stops future renewal charges but does not automatically refund current or past charges. After cancellation, access may continue through the end of the current paid billing period unless the account is suspended or terminated for misuse, nonpayment, security concerns, or policy violations. Users are encouraged to download a complete file ZIP export or request a records export before cancellation. Account export does not guarantee immediate purge of your files from provider storage or backups. See the Cancellation Policy for full details.

20. Platform Changes and Future Services

Clear To Roll may update features, pricing, policies, or platform functionality over time. Material changes will be communicated through the platform or email where reasonably possible. If Clear To Roll adds services such as report pulling, screening, verification, drug testing scheduling, or other integrations in the future, those services will require separate terms, consent, vendor process, and owner approval before activation.

21. Google Maps Platform and Truck Route Check

Truck Route Check uses Google Maps Platform Large Vehicle Routing to calculate truck-specific routes based on the trip locations and vehicle details you provide. When you check a route, Clear To Roll sends your origin, destination, and vehicle dimensions and weight to Google Maps Platform to calculate the route. Clear To Roll does not permanently store Google's calculated route, polyline, or estimated travel time. Routes are provided as a planning aid only. Google Maps Platform may return a "best-effort" route when a fully compliant route cannot be found. Routes are not guaranteed to be safe, legal, suitable, or free of restrictions. Always verify posted signs, clearances, weight and axle limits, permits, temporary restrictions, road conditions, carrier instructions, vehicle/load conditions, and applicable laws before and during travel. Clear To Roll does not provide truck toll pricing, speed-limit data, or routing for radioactive hazardous materials through this feature. Google Maps Platform Large Vehicle Routing is currently available in the contiguous 48 United States only. Map and route information is provided using Google Maps Platform. Google's required map attribution and branding are preserved on all map displays.

22. Text Messaging

Clear To Roll may offer optional account-related and customer-support text messages to users who affirmatively opt in. Text message enrollment is optional and is not required to use Clear To Roll or to purchase any subscription. If you enroll, Clear To Roll may send transactional text messages including document expiration reminders, account and record notifications, ELD status alerts, Accessorial Recovery follow-up reminders, Business Packet and Recovery Packet notifications, and customer-support communications. Clear To Roll does not send promotional offers, third-party advertising, or marketing text messages. Message frequency varies. Carrier message and data rates may apply. Reply HELP for help or STOP to unsubscribe at any time. You are responsible for providing an accurate mobile number and for keeping your number current. You may withdraw your consent at any time from your Account Settings or by replying STOP to any message. Clear To Roll does not guarantee that text messages will be successfully delivered, received, or timely. Service availability, carrier delivery, and message delivery are not guaranteed and depend on your mobile carrier and other factors outside Clear To Roll's control.
