Clear To Roll helps drivers organize, store, track, and share driver-authorized records. This Privacy Policy explains the types of information the platform may collect and store, how that information may be used, and how drivers can manage their account information.
When you create an account and use Clear To Roll, the platform may collect and store: • Account information (name, email address, password) • Contact information (phone, address, business name) • Driver profile information (driver type / operating role, CDL details, equipment, endorsements) • Billing and subscription status • Uploaded documents stored in the Records Hub, including CDL or driver license copies, medical card copies, insurance documents, truck and trailer registrations, annual inspections, permits, authority records, tax and business documents, W-9s, receipts, settlements, rate confirmations, bills of lading, proof of delivery, and trip or mileage records • Document Inbox files received or uploaded for review • Files emailed to your private upload address at docs.cleartoroll.com • Incident images and videos uploaded inside an Incident File • Employment history entered by the user • Business Packet records • Saved letters and templates • Service contacts you add to your account • Reminders and calendar dates you create • Support requests • Consent and acceptance records • Audit and security logs • Inbound email logs • Deleted and Recently Deleted records where retained
Information you provide may be used to: • Create and manage your driver account • Organize, display, play, and download your records in the Records Hub • Support Document Inbox and email upload workflows • Support Business Packet creation, sharing, and export • Provide reminders and dashboard summaries • Process payments and manage subscriptions • Respond to support requests • Maintain account and billing records • Improve platform security and functionality
Clear To Roll stores the documents, images, and incident videos you upload in private storage so the platform can organize, display, share, and export your records. Private files require authorized application access. When you choose View, Play, or Download, Clear To Roll creates a temporary signed link that lets your browser open or save that file. Signed links are time-limited and stop working after they expire. A signed link works like a temporary access pass while it remains valid — anyone who has the link can open the file until the link expires or is revoked. You should not copy, paste, or forward private signed file links to others. A new signed link cannot be created without authorized access to your account. Signed links are not meant to be stored or reused permanently. Clear To Roll uses reasonable administrative, technical, and access-control safeguards designed to protect your records. No system can be guaranteed to be completely secure. You are responsible for keeping your login credentials secure.
Your Document Inbox has a private upload email address at docs.cleartoroll.com. Files sent to that address appear in your Inbox for your review. Clear To Roll does not independently verify the identity of a sender who emails files to your Inbox address. You should review each attachment before saving it to your Records Hub. Inbox attachments do not automatically become Records Hub documents or Business Packet documents — you choose what to save. Clear To Roll checks the file type, file size, and file signature of uploaded files against an approved list. The current platform does not provide native antivirus or malware scanning. You should open only attachments you recognize or trust. Inbound email addresses use a driver-chosen handle and a secure routing code. You may regenerate your address at any time, which deactivates the previous address.
Inside an Incident File, eligible plans can upload images and videos related to that incident. Video uploads accept MP4 and MOV files subject to current size and count limits. When you upload an image or video through the secure upload pipeline, the original file is retained without in-place editing. Any preview or edited version is stored as a separate record where applicable. Clear To Roll does not certify evidence, does not provide a formal legal chain of custody, and does not confirm the authenticity, accuracy, or admissibility of any media. You must not upload unlawful, infringing, harmful, or prohibited material.
You choose which Records Hub documents to include in a Business Packet. A recipient sees only the documents you selected for that packet. An active Business Packet link can be opened without a Clear To Roll account. Anyone who has an active share link can access the selected packet documents until the link expires or you revoke it. You control the expiration date and can revoke a link at any time. Recipients do not receive access to your full Records Hub. Normal Business Packets are not password-protected ZIP files. Selected packet documents may be viewed or downloaded individually through the packet link. You are responsible for sharing packet links carefully and revoking links you no longer want active.
Deleted records may be restored while they remain available in Recently Deleted. Clear To Roll does not currently enforce a fixed automatic deletion period. Deleting a database record or finalizing an application-level deletion prevents Clear To Roll from creating new access links to that record. Base44 does not currently provide Clear To Roll with an API to immediately purge an individual uploaded file from private storage. Underlying file bytes, backups, or provider-controlled copies may remain for a period governed by Base44's systems, backup practices, legal obligations, and security processes. Clear To Roll cannot promise immediate byte-level removal from every storage layer or backup. Clear To Roll does not intentionally keep files longer than necessary for the service, legitimate business purposes, security, dispute resolution, or legal obligations. Clear To Roll does not control and cannot guarantee exact provider backup-retention periods.
Cancellation and account export are separate actions. Canceling your subscription stops future billing but does not automatically mean an immediate full storage purge. You may request or generate an account export where available. The export contains the driver-owned records supported by the completed export system. The current export ZIP is not encrypted. The ZIP is delivered through an authenticated, short-lived signed download link, so you should download it promptly and store it securely. The export ZIP is not password-protected. Business Packet sharing is separate from the account export ZIP. Exporting your account downloads your records to you — it does not share them with anyone else. View Cancellation Policy →When paid subscriptions are active, Clear To Roll uses Stripe for payment processing. Payment card details are processed by Stripe according to Stripe's own practices. Clear To Roll does not store full payment card numbers directly.
Clear To Roll uses third-party service providers to operate the platform, including: • Base44 — application hosting, database, and private file storage • Stripe — payment processing • Google Workspace — human customer-support and business email communications (support@cleartoroll.com) • Resend — automated transactional and reminder email delivery • Postmark — inbound email processing for your private Document Inbox upload address • Google Analytics 4 — public website usage analytics (public pages only) • Google Maps Platform — Truck Route Check route calculation and map display These providers process information according to their own privacy practices and only as needed to provide the services Clear To Roll uses them for.
When you use Truck Route Check, Clear To Roll sends your trip locations (origin and destination) and vehicle details (dimensions, weight, and axle count) to Google Maps Platform to calculate a truck-specific route using Large Vehicle Routing. This information is transmitted to Google for the purpose of calculating the route. Clear To Roll does not permanently store Google's calculated route, polyline, estimated travel time, or route advisory response. The route result is displayed in your browser for the current session only. Google Maps Platform processes information according to Google's own privacy practices and terms. Map and route information displayed in Truck Route Check is provided using Google Maps Platform. Google's required map attribution is preserved on all map displays.
Clear To Roll uses Google Analytics 4 to understand how visitors use the public website and to help improve it. These tools may collect information such as pages visited, browser or device type, general location, referral source, and basic website interactions. Analytics is active on public marketing pages only. Clear To Roll does not use analytics tools to collect driver document names, uploaded file names, CDL numbers, payment information, private dashboard content, or form field values. Analytics providers may use cookies or similar technologies to provide these services. You can control cookies through your browser settings.
Your records are private to your own account. Clear To Roll admin and support staff may access account or document information only as needed to provide support, resolve an issue, or operate the platform. Clear To Roll does not sell your personal information to advertisers and does not use advertising integrations. Processing your information through service providers to operate the platform is not a sale. Information may be shared with service providers as needed to operate the platform, with legal authorities where required by law, in connection with your directed exports or packet sharing, for payment processing, for security and fraud protection, and for dispute resolution.
You can manage your information within Clear To Roll by editing your profile, organizing and deleting records, revoking packet links, and canceling your account. To request access, correction, export, account cancellation, deletion where available, or privacy assistance, contact Clear To Roll support using the contact information below. Clear To Roll will review and respond to verified requests where it is able to do so. Clear To Roll does not promise specific response deadlines or rights that have not been legally confirmed.
Clear To Roll may offer optional account-related and customer-support text messages to users who affirmatively opt in. If you choose to enroll, Clear To Roll may collect your mobile phone number and send transactional text messages including document expiration reminders, account and record notifications, ELD status alerts, Accessorial Recovery follow-up reminders, Business Packet and Recovery Packet notifications, and customer-support communications. Clear To Roll does not send promotional offers, third-party advertising, or marketing text messages. Message frequency varies. Message and data rates may apply. Reply HELP for help or STOP to unsubscribe at any time. Consent to receive text messages is optional and is not required as a condition of purchase or to use Clear To Roll. You may withdraw your consent at any time from your Account Settings or by replying STOP to any message. Withdrawing SMS consent does not disable your email or in-app notifications. SMS consent information, including your mobile number and consent status, is used to provide the text communications you requested. Clear To Roll does not sell your SMS consent or opt-in data to third parties for their own marketing purposes.
