What Clear To Roll Does
What it is, who it is for, and what it does not do.
Clear To Roll is a driver-owned platform for truck drivers and owner-operators. It helps you organize records, track loads and important dates, keep payment proof, document recovery efforts, review load-source information, track maintenance, and build Business Packets — all in one private, driver-controlled place.
No. Clear To Roll is not a motor carrier, freight broker, dispatcher, freight forwarder, Electronic Logging Device (ELD), or government agency. It is an organization and readiness tool only.
No. Clear To Roll is built for the broader business side of trucking. It helps you organize records, track loads and important dates, review load-source information from official FMCSA/DOT sources, keep payment proof with a load, document recovery efforts, track maintenance, prepare for roadside situations, and build Business Packets — all in one place.
No. Clear To Roll does not approve, certify, screen, clear, qualify, verify, or make compliance decisions about drivers. It helps you organize records you already have or are authorized to store.
You do. Clear To Roll does not take ownership of your uploaded content. You grant Clear To Roll the limited permission needed to store, display, and share your files as you direct within the platform.
You do. Clear To Roll is built around driver-owned, driver-controlled records. Your documents stay private unless you choose to share them through a sharing workflow you initiate.
Yes. Clear To Roll stores the documents, images, and incident videos you upload in private storage so the platform can organize, display, share, and export your records. Files are not kept only on your device.
Your Records Hub is private to your own account. Clear To Roll admin and support staff may access account information only as needed to provide support or operate the platform. Nothing is shared outside the platform unless you take a sharing action.
No. Each driver account is private. Another driver cannot see your Records Hub, documents, or incident files. You only share records when you create a Business Packet or export your account.
No. Clear To Roll does not sell your personal information to advertisers and does not use advertising integrations. See the Privacy Policy for full details.
No. Clear To Roll does not approve, certify, screen, clear, qualify, rank, recommend, verify, or guarantee drivers or any outcome. It helps drivers organize, track, store, and share driver-authorized records.
Yes. Your Clear To Roll account is driver-owned, not carrier-owned. Your records stay with you when you change carriers, work with multiple carriers, become an owner-operator, or operate your own small carrier. You keep your organized records, packets, reminders, and history — no matter who you drive for.
Yes. Clear To Roll is built for CDL drivers, owner-operators, and small carriers and their drivers. The platform stays centered on driver-controlled records — it is not fleet-management software. Small carriers can use Clear To Roll alongside their drivers without giving up the driver-owned approach.
Clear To Roll uses private file storage, encrypted connections and encrypted storage, driver-specific access controls, and short-lived links when documents are opened or shared. Your documents are not stored through permanent public links. You control when records are included in Business Packets or shared from your account. No online service can guarantee absolute security, so drivers should also use a strong, unique password and protect access to their email account.
Documents, Downloads & Organization
How records are stored, viewed, downloaded, and deleted.
When you choose View, Play, or Download, Clear To Roll creates a temporary signed link that lets your browser open or save that file. Signed links are time-limited and stop working after they expire. A signed link works like a temporary access pass while it remains valid, so you should not copy or forward private signed file links. A new signed link cannot be created without authorized access to your account.
Yes. You can view or download individual documents from your private Records Hub whenever you need them.
The Records Hub accepts PDF and image files (JPG, PNG, HEIC). Video uploads are accepted only inside Incident Files on eligible plans, not in the general Records Hub.
No. Clear To Roll checks the file type, file size, and file signature of uploaded files against an approved list, but the current platform does not provide native antivirus or malware scanning. You should open only files you recognize or trust.
Deleted records may be restored while they remain available in Recently Deleted. Clear To Roll does not currently enforce a fixed automatic deletion period. Deleting a record prevents Clear To Roll from creating new access links to it. Clear To Roll cannot promise immediate byte-level removal of the underlying file from all storage layers or backups.
Yes. Clear To Roll helps keep important records organized in one place so you are not digging through emails, folders, binders, phones, or multiple cloud accounts when you need something.
Yes. You can track expiration dates and follow-up dates for records like medical cards, insurance, registration, annual inspections, and other important items.
A Load File is a working record for each load. It helps you keep load details, rate confirmations, BOL/PODs, invoices, settlements, payment proof, source checks, communications, and follow-up notes together — so the important information for a load is easier to find when it matters.
Yes. Load File Folders help you keep rate confirmations, BOL/PODs, invoices, settlements, payment status, and follow-up notes together — so load paperwork is easier to find when it matters.
Clear To Roll does not currently apply a plan-based document-count allowance. Each file must meet the supported file-type and 25 MB size requirements. Platform storage and reasonable-use limits still apply.
Yes. Bulk Upload lets you select multiple supported files, review each record, add its category and important dates, and file the records in your Records Hub.
Business Packets & Sharing
How truck drivers and owner-operators build and share records on their own terms.
You choose which Records Hub documents to include in a Business Packet. Clear To Roll may suggest documents commonly used for that packet type, but you control the final selection. A recipient receives a secure packet page containing only the documents you selected.
No. A recipient sees only the documents you selected for that packet. Recipients do not receive access to your full Records Hub or your dashboard.
Yes. You control the expiration date and can revoke a share link at any time. An active link stops working when it expires or when you revoke it.
No. Normal Business Packets are not ZIP-only and are not password-protected ZIP files. Selected documents may be viewed or downloaded individually through the packet link. You can also download a packet ZIP if you prefer to send files from your own email.
Yes. An active Business Packet link can be opened without a Clear To Roll account. Anyone who has the active link can access the selected documents until the link expires or is revoked.
Clear To Roll includes packet options for common driver and owner-operator record needs, including broker setup, shipper or direct customer setup, authority records, insurance, claims, tax, maintenance, factoring, equipment, roadside records, and custom packets. Packet contents are driver-selected, and recipient requirements may vary.
Letters & Templates are copy-ready messages you can use to request records, follow up on missing documents, or include a simple cover note. Templates can be copied and edited by you. Clear To Roll does not send emails automatically.
No. Clear To Roll does not send packets automatically. You can generate a share link for a recipient to view online, or download the packet files or ZIP to send from your own email.
Yes. Packets can be created for carriers, brokers, insurance agents, accountants, maintenance shops, finance companies, leasing companies, claims contacts, factoring companies, fuel card providers, permit services, and other recipients you authorize.
Yes. Recipients can view or download the selected documents individually through the packet link, when download is allowed. You can also download a packet ZIP to send from your own email.
Business Packets are general purpose-based record packages for carriers, insurance, tax, maintenance, finance, and other common needs. Recovery Packets are a separate packet type prepared from Accessorial Recovery records to help you organize and share documentation for a specific accessorial recovery effort. Each type has its own allowance — they are not pooled together. Draft packets do not count; a packet counts when you first share it.
A packet counts once — the first time you successfully share it. Draft packets do not count. Re-sharing the same packet does not consume another allowance. Business Packet and Recovery Packet allowances are separate and reset each billing period.
Incident Files & Video
Incident records, images, and eligible video uploads.
Video uploads are available only inside Incident Files, not in the general Records Hub, Document Inbox, Business Packets, or other areas.
Incident video upload is included on the Active and Pro plans. The Starter plan does not include video upload, but Starter drivers keep access to all other Incident File features.
Incident video accepts MP4 and MOV files, up to 50 MB per video, with a maximum of 5 videos per Incident File and 250 MB of total video storage per Incident File.
No. Clear To Roll does not certify evidence and does not provide a formal legal chain of custody. The original uploaded media is retained without in-place editing, and any preview or edited version is stored separately.
Yes. Incident File Folders help you organize accident, roadside, cargo, claim, insurance, photos, videos, notes, and follow-up records in one private place. This is for record organization only and does not replace legal, insurance, carrier, medical, or law enforcement guidance.
Yes. Files uploaded to Incident File Folders are stored privately and are not shared automatically. You control access.
Yes. You can add follow-up dates for loads and incidents and receive calendar reminders to help stay on top of open items.
Load Source Check helps you search official FMCSA/DOT operating-authority information, compare it with the load information you were given, complete a Red Flag Review, and save a check to the Load File. You can keep a historical record and generate a private Load Source Check Snapshot. Clear To Roll provides verification support and official-information review — it does not certify, approve, or guarantee brokers, loads, payment, legitimacy, or future authority status.
No. Clear To Roll does not certify, approve, or guarantee brokers. Load Source Check helps you review and save official FMCSA/DOT information and compare it with load details. It does not guarantee identity, legitimacy, payment, future authority status, or compliance.
No. Clear To Roll does not guarantee payment, collect payment, or recover unpaid freight. Payment & Proof tools help you organize what you are owed, record amounts expected and received, keep invoices and settlements with the load, and track follow-up information.
No. Clear To Roll does not replace FMCSA, DOT, or any government agency. Load Source Check retrieves information from official government sources for your review, but the official government sources remain the authoritative record. Government information can change.
Yes. Load Files include Payment & Proof tools that help you track amounts expected and received, keep invoices and settlement records with the load, save payment proof, and note follow-up dates.
Yes. The Maintenance Scheduler helps you track service items, mileage, service dates, and supporting records. Calendar & Reminders helps you track expiration dates, renewals, inspections, appointments, and other important dates.
Accessorial Recovery helps you document, organize, and follow up on accessorial events like detention, layover, lumper, TONU, port/drayage charges, and border/cross-border delays. You enter the timestamps, terms, and rates, attach evidence, prepare letters, set follow-up reminders, record payments, and build a Recovery Packet. Clear To Roll does not determine whether payment is legally owed, whether you are entitled to recover money, liability, or contractual rights.
When a freight payment is unpaid, short, or disputed, Freight Payment Recovery helps you organize the load history, amounts expected and received, deductions, fees, reserves, follow-up activity, and supporting evidence in one place. You can prepare a Freight Recovery Packet when you need to share the record. Clear To Roll helps organize and document the recovery effort. It does not determine legal entitlement, liability, or guarantee payment.
Accessorial Recovery covers accessorial events like detention, layover, lumper, TONU, port/drayage, and border delays. Freight Payment Recovery covers the base freight payment itself when it is unpaid, short, or disputed. Both help you organize evidence, amounts, timelines, communications, and Recovery Packets. Both count against your Recovery Packet allowance.
Payment & Proof is part of your Load File. It helps you track agreed rates, amounts expected and received, deductions, fees, reserves, and factoring information for a load — so you can see what still needs attention at a glance. Clear To Roll does not determine the legally correct amount owed.
Document Assist is an optional convenience feature. Upload a supported document and Document Assist can suggest information already on it. You review what it found, make changes, and save when you are ready. Document Assist uses AI-assisted technology. You review and confirm the information before saving, and manual entry is always available.
Currently: Rate Confirmations, BOL/POD, and single-load Settlement / Payment Statements. Document Assist does not support every document type and does not promise perfect extraction. It does not make financial, legal, compliance, or payment decisions.
When you choose Document Assist, the selected document is temporarily processed by a third-party AI service so Clear To Roll can suggest information already on it. Clear To Roll does not permanently store the Document Assist extraction result just because it was analyzed. You review what was found, and confirmed information is saved only when you choose to save it. Manual entry is always available.
Yes. Clear To Roll is built to help you reuse information you have already entered — contacts, load details, payor information, and saved records. You can reference the same uploaded file in multiple places without re-uploading it.
Yes. One physical file can be referenced by multiple features — Load Files, Recovery records, Business Packets, and more — without duplicating the uploaded file.
The ELD & Hours Center helps you select your ELD from the official FMCSA registered list, check registered or revoked status, see replacement deadline information when applicable, organize and prepare HOS records, document malfunctions, and set reminders. It is an organization and preparation tool for records you already have.
No. Clear To Roll is not an Electronic Logging Device, does not record duty status, does not calculate legal HOS, does not determine HOS violations, and does not determine whether a driver is legal to drive. It helps you organize and prepare ELD/HOS records you already have.
Yes. You can store photos and images in your Records Hub and link them to loads, incidents, maintenance, and other workflows. Private video evidence is available inside Incident Files on eligible plans. Videos are stored as uploaded — Clear To Roll does not remove embedded video metadata. Photos uploaded to Clear To Roll have image EXIF/GPS metadata scrubbed before storage.
Business Calculators & Route Tools
Free planning tools, subscriber benefits, and what calculators can and cannot do.
Truck Route Check is a route-planning aid that uses Google routing data together with truck and equipment information such as height, width, length, loaded weight, axle count, and trailer details. It is not commercial navigation and does not guarantee a truck-safe or legally suitable route. Drivers remain responsible for verifying posted restrictions, clearances, axle and weight limits, permits, temporary restrictions, road conditions, and applicable requirements.
No. It is a route-planning aid, not turn-by-turn commercial navigation and not a guarantee of route safety, clearance, legality, or suitability.
Paid accounts include Cost Per Mile, Load Profitability (Standard Load and Drayage / Port Move), Fuel Surcharge, Detention & Layover, and Maintenance Reserve & Repair Forecast calculators with save, reopen, and recalculate capabilities.
Free public calculators provide quick standalone estimates without a subscription. Subscriber versions add capabilities such as saving scenarios, naming them, reopening, recalculating, accessing them from My Worksheets, connecting supported calculations to Load Files, reusing a Preferred Cost Per Mile, and reusing a saved Fuel Surcharge calculation after confirmation.
Yes. Paid subscribers can save, name, reopen, and recalculate calculation scenarios and access them through My Worksheets & Calculations.
Load Profitability, Fuel Surcharge, and Detention & Layover calculations can connect to Load Files. Truck Route Check can also be launched from a Load File. Cost Per Mile is a business-level planning tool and is not load-specific. Maintenance Reserve is a maintenance and business planning tool and is not load-specific.
My Worksheets & Calculations is one place for your saved checklists, saved worksheets, saved Load Profitability calculations, saved Cost Per Mile calculations, saved Fuel Surcharge calculations, saved Detention & Layover calculations, and saved Maintenance Reserve forecasts.
No. The Detention & Layover Calculator is a planning and recordkeeping tool. A calculated amount does not establish entitlement, amount owed, claim validity, or collectibility. Accessorial Recovery is a separate documentation, evidence, and follow-up workflow.
No. Calculators provide estimates based on driver-entered information. Clear To Roll does not determine whether a load should be accepted, legal compliance, route safety, route legality, or payment entitlement.
Document Inbox & Email Upload
How incoming attachments arrive and get reviewed.
Your Document Inbox has a private upload email address at docs.cleartoroll.com. Files sent to that address appear in your Inbox for your review. You choose which attachments to save to your Records Hub.
No. Clear To Roll does not independently verify the identity of a sender who emails files to your Inbox address. You should review every attachment before saving it and open only attachments you recognize or trust.
No. Attachments arrive for your review only. They do not automatically become Records Hub documents or Business Packet documents until you choose to save them.
Yes. Your inbound email address uses a driver-chosen handle and a secure routing code. You may regenerate your address at any time, which deactivates the previous address.
Driver Profile Card & Privacy
Public profile, private records, and privacy controls.
No. Your Driver Profile Card is a public professional profile only. It does not show your Records Hub, uploaded documents, file links, or Business Packet contents.
Yes. A visitor can submit a packet request, but nothing is shared automatically. You control whether to share anything and what to include.
Yes. Your Driver Profile Card can be turned on or off at any time. When it is off, the public page is not accessible.
Yes. Clear To Roll is built around driver-owned, driver-controlled records. Nothing is shared outside the platform without a sharing action you take.
Plans, Export & Cancellation
Pricing, export, and cancellation options.
Yes. You can download a complete ZIP of your available Clear To Roll records from Account & Billing under "Cancellation and Records Export." For accounts with a large number of files, a request-based export is available as a fallback.
No. The current export ZIP is not encrypted and is not password-protected. Download it only on a trusted device and store it securely.
The export download link is authenticated and time-limited. You should download your ZIP promptly and store it securely before the link expires.
Cancellation stops future renewal charges but does not refund monthly fees already charged. You retain access through the end of your current paid billing period. Canceling does not automatically mean an immediate full storage purge.
Your monthly subscription begins after your payment is successfully completed and renews monthly on the same date until canceled.
No. Monthly subscription fees are non-refundable once charged, except where required by law or expressly approved by Clear To Roll in writing.
No. Add-on services are optional and only used when you want extra help beyond your monthly plan.
Upload the records to your Clear To Roll Records Hub or send them to your private Document Inbox. Bulk Upload lets you add multiple supported files at once. Select up to 50 records and submit your Concierge request within 14 calendar days of purchase. Do not email sensitive records or ZIP files to the general support address.
Yes. Clear To Roll is designed to work on mobile, tablet, and desktop so truck drivers and owner-operators can access important records on the road.
