How to use this calculator

Enter your load details in the fields below, then tap Calculate. Each section is explained here.

Section A — Load Revenue

Enter the dollar amounts for linehaul pay, fuel surcharge, accessorials, and other revenue.

Section B — Miles

Enter loaded miles and deadhead miles. Total miles is calculated automatically (loaded + deadhead).

Section C — Cost Per Mile

Enter your cost per mile — either from the Cost Per Mile Calculator or your own known figure.

Section D — Trip-Specific Costs

Enter tolls, parking, scale ticket, permits, lumper, washout, trailer washout, additional fuel or reefer fuel, factoring fee (enter 3 for 3%), dispatch fee (enter 5 for 5%), and other trip costs.

Section E — Time

Enter the estimated trip days (decimals are accepted, e.g., 1.5).

What the results mean

  • Estimated Net Profit: Total revenue minus total estimated cost for the load.
  • Total revenue: The sum of linehaul, fuel surcharge, accessorials, and other revenue.
  • Loaded miles: The miles you entered for this load.
  • Deadhead miles: The empty miles you entered for this trip.
  • Total miles: Loaded miles + deadhead miles.
  • Deadhead percentage: Deadhead miles ÷ total miles.
  • Revenue per loaded mile: Total revenue ÷ loaded miles.
  • Revenue per all miles: Total revenue ÷ total miles.
  • Estimated operating cost: Your cost per mile × total miles.
  • Trip-specific costs: The sum of tolls, parking, scale, permits, lumper, washout, trailer washout, additional fuel, and other trip costs.
  • Factoring fee amount: Total revenue × (factoring fee % ÷ 100).
  • Dispatch fee amount: Total revenue × (dispatch fee % ÷ 100).
  • Total estimated cost: Operating cost + trip-specific costs + factoring fee + dispatch fee.
  • Profit margin: Net profit ÷ total revenue.
  • Profit per all miles: Net profit ÷ total miles.
  • Profit per day: Net profit ÷ trip days.
  • Break-even rate per all miles: Total estimated cost ÷ total miles — the rate per mile you would need to just break even.

How the calculation works

1. Total Revenue = Linehaul pay + Fuel surcharge + Accessorials + Other revenue.

2. Total Miles = Loaded miles + Deadhead miles.

3. Revenue Per Loaded Mile = Total revenue ÷ Loaded miles (when loaded miles are greater than 0).

4. Revenue Per All Miles = Total revenue ÷ Total miles (when total miles are greater than 0).

5. Operating Cost = Cost per mile × Total miles.

6. Trip-Specific Costs = Tolls + Parking + Scale ticket + Permits + Lumper + Washout + Trailer washout + Additional fuel + Other trip costs.

7. Factoring Fee = Total revenue × (Factoring fee % ÷ 100).

8. Dispatch Fee = Total revenue × (Dispatch fee % ÷ 100).

9. Total Estimated Cost = Operating cost + Trip-specific costs + Factoring fee + Dispatch fee.

10. Estimated Net Profit = Total revenue − Total estimated cost.

11. Profit Margin = Net profit ÷ Total revenue (when total revenue is greater than 0).

12. Profit Per All Miles = Net profit ÷ Total miles (when total miles are greater than 0).

13. Profit Per Day = Net profit ÷ Trip days (when trip days are greater than 0).

14. Break-Even Rate Per All Miles = Total estimated cost ÷ Total miles (when total miles are greater than 0).

15. Deadhead Percentage = Deadhead miles ÷ Total miles (when total miles are greater than 0).

Important limitations

This calculator provides an estimate based only on the information entered. Actual load results may differ because of route conditions, fuel use, deadhead miles, delays, tolls, maintenance, insurance, taxes, fees, payment terms, and other operating costs. Clear To Roll does not recommend whether a driver or carrier should accept, negotiate, or reject a load and does not provide financial, tax, legal, accounting, safety, or regulatory advice.
